Jackpot Management

What It Does

Who It's For

Jackpot Lifecycle

The following diagram illustrates the typical lifecycle of a jackpot:

Creation → Approval → Activation → Scheduled Increases → Hit/Reset → Payment

Managing Jackpots

Approving Increases

  1. Review pending increases indicated in the "Approve" button count

  2. Click the Approve button to view and authorize pending increases

  3. Verify the amount and timing is correct

  4. Approve the increase to update the jackpot amount

Note: Approvals require manager-level permissions or higher

Manual Increase

To add funds to a jackpot outside the regular schedule:

  1. Click the edit icon in the "Manual Increase by Manager" column

  2. Enter the amount to add

  3. Provide authorization/reason

  4. Submit the change

Understanding Factor Calculations

The "Factor" represents the percentage rate at which a jackpot increases based on hours of play:

  • Factor is configured during jackpot creation

  • The system multiplies (Hours × Factor × Seed Amount) to calculate the "Increase by Factor"

  • Example: A jackpot with a $1,000 seed, 0.01 factor, and 10 hours of play will increase by $100

Jackpot Action Menu

Click the gear icon for a specific jackpot to access these functions:

  • Undo Approval: Reverse a previously approved increase

  • Reset Jackpot to Seed: Return jackpot to starting amount after hit

  • View History: See complete jackpot activity log

  • Stop Jackpot: Pause or discontinue the jackpot

Starting a Jackpot

New jackpots created in Promotion Events appear in Jackpot Manager with "not started" status until manually activated:

  1. Review the jackpot details to ensure configuration is correct

  2. Click the Start button at the top of the screen

  3. Select the jackpot(s) to activate

  4. Confirm to change status to "Going"

Important: This manual activation is required regardless of the start date entered during setup. The jackpot only becomes active and visible on displays after being started through Jackpot Manager. This is when hour tracking begins for auto-increase calculations.

A jackpot remains active until manually stopped using the action menu, regardless of any end date that may have been specified during setup.

Reports and Monitoring

Access detailed reporting by clicking the Reports button:

  • Current Jackpots Report: Overview of all active jackpots

  • Jackpot Increase Report: History of all increases

  • Payout History: Record of all jackpot hits and payments

Integration with Payout Module

When a jackpot is hit, the system connects with the Payout Module to:

  • Document the qualifying hand/condition

  • Process required tax forms

  • Handle multiple winner distributions

  • Create audit trail for compliance

Best Practices

Daily Operations

  • Regular Review: Check jackpot amounts daily for accuracy

  • Dual Control: Use the approval system for all increases

  • Documentation: Keep detailed notes for manual adjustments

  • Testing: Verify display amounts match system amounts

  • Compliance: Ensure all resets and hits have proper authorization

Security Considerations

  • Never share approval credentials

  • Document reasons for all manual adjustments

  • Perform regular reconciliation between reports and financial systems

  • Verify jackpot configurations against approved promotion documentation

Troubleshooting
