How to use the waitlist/board manager features and display

The Waitlist Management module tracks players waiting for seats, manages table assignments, and handles player movement across your floor. It connects directly with Floor Management to maintain accurate player tracking.

Core Features:

  • Track players waiting for specific games and limits

  • Page players when seats become available

  • Manage must-move lists between tables

  • Handle players temporarily away from tables (chip pickup)

  • Support multiple entry methods (in-person, kiosk, mobile, call-in)

  • Display real-time waitlist information to players

Prerequisites

Before using the Waitlist Manager, complete these setup steps in Floor Settings:

  • Create games with theme colors (colors appear on waitlist displays)

  • Define limits for each game

  • Add tables and configure seat counts

  • Create game and limit combinations

Quick Start: Setting Up Your First Waitlist

Step 1: Activate Games for Waitlist Use

  1. From Dashboard, click Waitlist Manager

  2. Go to the Games tab

  3. Click the Edit button

  4. Select a game (e.g., No Limit Hold'em)

  5. Choose a limit (e.g., $2/$4)

  6. Add jackpot amount if applicable

  7. Click Add

  8. Verify the game is Activated (toggle is on)

  9. Click Finish

Step 2: Create Your Waitlist

  1. From the Games tab, drag your activated game/limit to an empty waitlist block

  2. Your list will appear as an "Interest List" (no tables assigned yet)

Step 3: Assign Tables

  1. Go to the Tables tab

  2. Drag available tables to your new game/limit waitlist

  3. Your list will now change from "Interest" to "Going" once a dealer and player are seated

💡 Key Feature: Quick Table Assignment

The Tables tab is essential for quickly assigning tables to a game and limit waitlist. When you drag a table to a waitlist, the system automatically assigns that game and limit to that table. This is why we recommend:

  • Set up your most frequently used games and limits in advance

  • Keep these games activated and ready for use

  • Use the drag-and-drop functionality to quickly adjust what's assigned on the floor as needed

This approach is much faster than going through Floor Settings to change table assignments.

Step 4: Add Players

  1. Go to the Patrons tab

  2. Enter player information or swipe their card

  3. Select which waitlists to add them to

  4. Click Add to Selected Lists

Step 5: Open Waitlist Display

  1. Click Waitlist Display to see the player-facing view

  2. Verify your waitlist appears correctly

Daily Workflow

Initial Setup

  1. Verify all desired games/limits are activated

  2. Assign your frequently played games to the empty waitlist slots

  3. Drag tables into those lists to quickly re-assign tables

Throughout the Day

  • Add players to appropriate waitlists

  • Manage players with four key actions:

    • Page: Notify players their seat is ready

    • Chip: Track players temporarily away from tables

    • Deque: Remove players from a specific list

    • End of Line: Move players to bottom of the list

  • When players are paged and then sent to the table, they will automatically drop off of the waitlist for that game/limit

Understanding Key Concepts

Interest vs. Going Lists

  • Interest List: No tables assigned yet; tracks player interest only

  • Going List: Has tables assigned with open seats; actively seating players

Waitlist Tabs

The Waitlist Manager has five main tabs:

  1. Games: Activate/deactivate games and limits

  2. Tables: Assign tables to waitlist game types

  3. Patrons: Add or search for players

  4. Pages: See who's been paged and their response time

  5. Chip Pickup: Track players temporarily away from tables

First-Day Troubleshooting

Waitlist shows as "Interest" instead of "Going"

  • Check if tables are assigned to the list

  • Verify dealer is clocked in on the assigned tables

  • Confirm at least one player is seated on a table

Can't add player to Chip Pickup

  • Ensure a waitlist exists for that game/limit

  • Verify the player was properly seated at a table first

Games or limits aren't available

  • Verify they're created in Floor Settings

  • Check they're activated in Waitlist Manager → Games → Edit

Checklist Before Going Live

  • Games and limits activated

  • Tables assigned to waitlists

  • Waitlist display visible to players

  • Staff familiar with adding players

  • Paging process tested

  • Chip pickup workflow confirmed
