Create & Manage Patrons (Desktop)
Accessing Patron List
The Desktop / Patron Management List component is accessed as a dedicated tool for:
Creating, Updating or Inactivating Users
Attaching Player Attributes (Emails, Personal Details, Contact Info & Photos)
Attaching & Scanning Player IDs for player Ingestion
Scanning Player IDs for existing memberships and barred status
Printing Employee Cards (RFID)
Adding Memberships & Transactions for a Membership Duration and Transaction Management for Player time/credit Based on your Application Configuration.
If you need to export a list for surveillance see - Patron List (Web)
Log Into Cardopz Desktop (Must be installed on local PC)
Select "Patron List" from the left menu
The Patron List interface will display all player / member accounts
Patron List Interface
Player List Grid

Displays all employee accounts with key information:
Select Player : Checkbox allows users to take additional actions (see next section)
Player ID (aka Card Number) : Unique identifier for each player - not the same as RFID card #
Name Fields: First, Last & Middle Name (auto-set if creating based on scanned ID)
Alias: What your player prefers to be called by - what will show on various views (dealer tablet, etc)
Gender : Male / Female / Non-Binary
Email / Phone(s): Track contact info for your players in tandem with their Opt-In preferences
DOB: Stop those minors at the door when scanning IDs. Differentiate players with shared names.
Age: Have 2 Johns Smiths? Pick the one that's younger/older without more research.
ID Fields : Store a Drivers License, Passport & Other ID as provided by your players
Created : Track when your players were created in Cardopz.
Employee Filters:

Filter: Type a Name or use dropdown to select one or many filters & click 'Refresh' button.
Document ID : Will search across any gov ID fields (DL, Passport, Other ID)
Sort By: Select a field to sort by, then select Ascending/Descending.
Filter / Clear Filters: Click Clear Filters or the Refresh button to update your query.
Selected Player

Displays player accounts with key status information & enables Employee Action buttons:
Select Player : Presents snapshot of player info & status to confirm you have intended user.
Player KPIs :
Time/Credit Balance : If you use Cardopz purchased time or credits for table-game action you will want to confirm the player has time/credit available when checking in.
Membership Status : Is your players membership still valid? If so, how long until it expires.
Gaming Status : Flag players who are barred and stop them before entry.
Hide Time Balance & Membership Status if unused - see membership settings
Player Action Buttons:
Edit Account : To review or update player attributes or user status (cleared/locked)
Issue Badge : If you create Player Cards click the Issue Badge button for print dialog.
Account Info : Some, but not all employees log-in. Update a pw here if needed.
Delete Account : Not recommended, better to set as inactive, but deleting an employee will not delete them entirely from the database to assure your reports, table and cage transaction histories will be retained. Deleted accounts will no longer be seen from this or web views and to re-activate a deleted account admins must contact Cardopz Support.
Create Account : Green Button - You do not have to have a record selected to initiate.
Create (Player) Account
You can only create players from 2 locations in Cardopz:
External SMS signup form & Cardopz Web Verification - Note if using this process, it is still recommended to use the Membership Application to capture their ID and additional contact information when verifying the player at arrival. See SMS Registration.
Membership Desktop Application - Patron List
From here you have 2 options to create a new player:
Click Check-In button & Scan ID - If the player is not found, a new player form will be prompted and auto-filled with the info from the ID.
Note - This is the fastest, and recommended method for all membership clubs and cardrooms as it helps your operators know who is in the room, and stop barred players from entering the facility.
Click "Create Account" Button - To open the form below.
Note - It is still recommended to scan the ID if using this process using the 'Scan ID' button within this form.

Create a New Patron Form:
Required Fields: First Name, Lastname, DOB, Alias
Note - Use alias for preferred names, this will be shown for dealers. If you don't select one, the system will auto-assign one based on first/last name.
Recommended Fields: Generally, the more info you collect, the more features you can use.
Player Member Photo - Use webcam to capture photo to be used on player card
Gov ID (Scanned to capture exact information & images) - You have 3 tabs to capture Drivers Licenses, Passports, or many other Government Issued IDs. You can have one or many ID forms for each player.
Preferred Communications - Mobile/SMS & Email are used throughout application for paging & more.
Submit Changes: Use the submit button to create your record.
Create / Print Player Card - You must first create your player and save the record. Next steps are covered in the next 2 sections:

Edit Form has new fields for you to edit player info and take other actions:
Update any Attribute: Edit any information, photo or status as needed. The CardNumber (Patron ID) can not be changed, this is set by the system and is unique to each employee.
Barred & Barred Until - See Barred Patron Management
RFID Card: It is best practice to click into this field and then tap an ID after printing the employees information. This process will assure you are assigning the right card with the exact syntax. If you need to update an employee card, delete the information, assure you have no spaces, then scan your new card.
Submit Changes: Use the submit button to save your changes. Users may need to log out/in if you changed their email or role before changes take effect.
Issue (Player) Badge - ID CARD
Skip directly to issuing a badge:
Pre-Requisites Configurations :
Select Your Card Printer from: Settings / Card Settings / Card Printer Dropdown (Solid 210/510)
Optional Settings:
Decide if you are printing Employee Images, which print by default. To hide them check the 'Hide Photo' under Settings / Card Settings / Card Printer.
2 Sided Logo: Two sided printers will allow you the ability to print both sides of the ID. If applicable - Admins should set the graphic on the setting tab if you do not have pre-printed cards available.
Click Settings / Card Settings / Employee Card (Button)
From pop-up you can set a new image or default image.

Print Issued Badge
Confirm Settings are Correct
Select User from Employee List
Click Issue Badge & Review Preview Screen
Click Print
Once Complete remember to associate it to your employee - open edit, click the RFID field, then tap the card. Confirm the card read before submitting. It is recommended to test the card with your employee before issuing it to them to start work.

Troubleshooting Badge Printing:
Confirm printer has ribbon & a card loaded with the blank side facing up.
Does the printer have an error displayed - see manufacturers troubleshooting guide.
Printing Duplicates? - Confirm you have single sided printing set as your default
Manage Player Memberships
Player Membership Introduction
Cardopz allows you to create, manage and track player memberships for social clubs who charge a fee for members to access the facility or games. This section will review:
Showing/Hiding Membership Information on the Patron List
Add & Manage Player Memberships
Voiding Membership Transactions
Membership Configuration (Set-Up)
To enable the Membership information on your patron list:
Note admins will need to update this setting on each instance of the Desktop application installed for cashiers or surveillance users - these settings are only stored locally on each PC.
Log in as admin and go to settings tab / uncheck the 'Show only gaming status' box.

Once the gaming status only is disabled, navigate back to the patron list tab and select a player.
In the example below we have a player selected who we can at a glance confirm:
A Valid Membership - With a yellow warning color to notify only 1 day remains till expiration.
A Positive Credit Balance - The player has credits to use in time/credit collection on tables
Not Barred Player Status - If barred, this card will show as red, with the barred reason/dates.

Set Default Receipt Printer (Thermal Printer)
You should confirm your default PC printer is either your thermal printer, or set it as your default receipt printer from within the Desktop application / Settings tab.
Navigation: Under Receipt Settings, click the 'Receipt Printer' and update it from the default printer, to your thermal printer. In the example below PDF is the default, so users should change that to the correct printer.
Receipt Logo: is optional, to update this click the receipt preview and use a simple black and white image formatted to fit on a receipt. To change your logo, click 'Receipt Preview', then click 'Load Club Logo'. To remove a club logo and go back to just text, with your clubs name, click 'Set Default Picture'. Note: you can test print receipts from this interface for convienience.
Printer Manufactures: Epson thermal printers are tested and qualified by Cardopz, however many others may work.

Membership Purchases
Cashiers and managers can update both membership status and complete time / credit purchases for play time by selecting a player and clicking the ACCOUNT INFO button.

The Account Info form is intended to manage:
Create New Transactions
Review Prior Transactions or Re-Print Lost/Damaged receipts (or if thermal runs out of paper)
Void Prior Transactions

New Transaction Button:
Configurable Pricing: The purchase amounts for memberships or time/credit are configured at set-up, however can be updated by having an approved administrator contacting Cardopz support. For membership clubs who offer free-play, you will primarily use this for the Membership status.
This view is where new Memberships & Time/Credit Purchases are created
Select Daily, Weekly, Monthly, Yearly Memberships.
Select a time/credit purchase type & amount.
You can optionally provide credits as a Comp, Sponsored Player or part of a Promo
Selecting these types will display on the customers receipt.
A cashier can add a comment for reference later, especially useful for comp/sponsor/promo.
If you use or accept checks, or a 3rd party POS, you can key the transaction # here for later reconciliation or reference.
An active Membership is required for time/creidt purchases.
You can complete either time/credit or membership fees, or both before submitting the transaction.

Once the transaction is submitted 2 receipts will print from the system (Cashier & Customer), based on your configurations above.
Membership Voids
Even the best sometimes make mistakes - voiding mistaken transactions simply requires the user to select the transaction they wish to void - then click the 'Void Transaction' Button.
The void form allows the user to add Voided Notes at the time of void.
Voided transactions will appear in blue - and once submitted, if a user clicks that record, then clicks the transaction detail button - the voided by notes & information will be displayed.
